Two of the most common questions an instrumentation manager faces when an instrument comes back from the calibration lab: ‘Did it pass?’ and ‘What do we do if it didn’t?’ Understanding the relationship between calibration and repair — what each accomplishes, when one leads to the other, and what your options are is essential for making sound decisions about your instrument fleet.

Calibration and Repair: Fundamentally Different Activities

What Calibration Does

Calibration is a measurement and documentation process. A calibration technician compares your instrument’s output against a traceable reference standard, records the deviations, and if the instrument has an adjustment mechanism brings those deviations within tolerance. The output is a calibration certificate documenting what was found and what the instrument’s current accuracy is.

Calibration does not fix broken components, replace worn parts, or address physical damage. It confirms and adjusts accuracy within the instrument’s existing physical capability. If the instrument is physically damaged, malfunctioning, or beyond its adjustment range, calibration alone cannot remedy the situation.

What Repair Does

Repair addresses the physical condition of an instrument replacing worn or failed components, fixing mechanical damage, restoring electronic circuits, or reconditioning worn contact surfaces. Repair brings the instrument back to a functional state. However, repair alone does not constitute calibration a repaired instrument must be calibrated after repair to verify and document its accuracy. The relationship between the two is sequential: repair first, then calibrate.

What Happens When an Instrument Fails Calibration?

Path 1: Adjustment Brings the Instrument Back In

Many instruments can be adjusted at the time of calibration to bring readings within tolerance. The technician makes the adjustment, re-verifies, and issues a passing calibration certificate with as-found (failed) and as-left (passing) data both documented. No separate repair is needed.

Path 2: Adjustment Cannot Bring the Instrument Back In Repair Required

Some instruments fail calibration because of physical damage, component failure, or deterioration beyond the reach of adjustment. The calibration technician will note this and notify the customer. Path 3: OEM Repair or Replacement

The As-Found / As-Left Record: Your Window Into Instrument Health

The as-found data on a calibration certificate is one of your most valuable diagnostic tools. It tells you not just whether an instrument passed or failed, but how far it drifted from its last calibration and in what direction. This data reveals instruments trending toward failure, sudden large shifts indicating possible damage, and instruments consistently near zero drift that may be candidates for interval extension.

Repair Decisions: Factors to Consider

Repair Cost vs. Replacement Cost

For inexpensive instruments, the cost of repair may approach or exceed the cost of a new instrument. For expensive equipment precision power quality analyzers, sophisticated transmitters repair is almost always more economical.

Instrument Age and Spare Parts Availability

An older instrument approaching the end of its design life may be a poor candidate for significant repair investment. For obsolete instruments, repair parts may not be available a common reason why replacement becomes the practical choice.

Impact Assessment: What to Do When an Instrument Was Found Out of Tolerance

When an instrument is found out of tolerance at calibration, your quality program requires an impact assessment: an investigation into what measurements were made using the out-of-tolerance instrument since its last calibration, and whether those measurements affected product quality or safety decisions.
